Road Bear RV Rentals has set very high standards in terms of service and fleet quality at their eight depots in the US. The company was first established in 1980 and has intentionally stayed small in order to provide high-quality vehicles and top-level service consistently.

Post-hire Cleaning
The rental company reserves the right to charge a cleaning fee of at least US$ 50 (up to max. US$ 250) if the interior of any renturned vehicle is not swept clean. The toilet and waste water tank must be emptied and the gas and fuel tanks must also be returned full or further fees of up to US$ 50 will apply. The vehicles exterior does not require cleaning by the customer (the exceptions are special events such as Burning Man, RAAM, EDC,etc).
This option is only available in advance with your booking and cannot be added at pick-up.
The All Inclusive price includes the following provisions in addition to those included in the base rental rates:

Please note that it is mandatory to use Road Bear's pre-registration link to fill out your details required for picking up your vehicle and send these to Road Bear RV online 14 days prior to your vehicle pick-up date. The varying standard seasonal rates are used as the basis for the rental cost calculation.
Pick-up and drop-off days are counted as one day in total, i.e. each rental night is used for the price calculation in the same way that hotels calculate their charges. The nights will be calculated according to the price applicable for each 'season' in which the nights fall.
The cancellation fees apply as stated in Motorhome Bookers' booking conditions.
If the vehicle is collected later than the pick-up day booked, or returned earlier than booked no refunds will be provided.

A compulsory vehicle preparation fee is payable locally for all rentals.
It costs US$ 225 (+ tax) per vehicle for pick-ups on Tuesday, Wednesday and Thursday.
Pick-ups on Friday, Saturday or Monday cost US$ 295 (+ tax) per vehicle.
The convenience kits are optional, include GPS, are payable locally and cost US$ 75 per person (+ tax). It is free of charge for children under 6 years of age, after all adults paid for theirs. For further details please refer to the section 'Equipment & Extras'.
If you select the All Inclusive Option during your booking the vehicle preparation fee and convenience kits for all passengers are included in the total price.
There are no mileage allowances included in the daily rental rates.

At the rental depots mileage is charged at US$ 0.46 per mile + taxes for all vehicles at drop-off time.

US$ 140) for pick-ups in New York.
Motorhome Bookers can not accept responsibility if these tax levels are altered either as a result of local American tax increases or if Road Bear RV adjusts these or other locally payable fees for any reason.
Public liability insurance
The public liability insurance is included in the daily rental rate. The vehicle and the rental company are insured for damages to third parties and/or their property up to a limit of US$ 1 million (no excess).
However, the public liability insurance that covers the registered drivers is separate and only provides cover for the driver up to the statutory limit as stipulated by law of the state you are in at the time of any incident. The upper limit of this insurance cover is normally very low.
The maximum level of each public liability insurance policy covers claims made by third parties against the rental company or the renter of the motorhome (in the case of third parties or their property). Passengers in the rental vehicle are not counted as third parties and the driver is therefore not insured for claims brought by them against him/herself.
Vehicle insurance
The CDW/VIP vehicle insurance is included in the rental rate for all vehicles. This insurance reduces the renter's personal level of risk/excess to US$ 1,000 (per incident) if damage occurs (any damage to the rental vehicle, regardless of how and who causes it and including if the renter is not at fault). Exceptions: damage situations that are not covered by the insurance are stated below under the heading 'Insurance Exclusions'.
The insurance covers but is not limited to:
- vehicle accident
- 'Uninsured Motorist' in case the renter is involved in an accident with a non-insured driver
- damage to the windscreen or other glass
- fire (personal property is always excluded and not insured)
- vandalism
- theft (exceptions: (a) theft of the vehicle in the cities of New York, Montreal, Quebec city, even if the vehicle is parked in an area with surveillance: the renter is required to reimburse the rental company for the full value of the vehicle; (b) personal property is always excluded and not insured.
You have the option of purchasing the Zero Deductible option (ZDO) for US$ 15.95 per night. This option reduces reduces the renter's personal level of risk/excess to NIL. Please see exceptions under 'Insurance Exclusions' for further details.
As part of the VIP insurance Road Bear covers accident-related costs that result from technical vehicle problems. For further details please refer to the section 'Miscellaneous': Breakdowns & Repairs.
If damage occurs as a result of illegal or dangerous driving or if the renter drives outside of the guidelines of the rental agreement no insurance will be provided. Please see below under 'Insurance Exclusions' for further details.
The deposit of US$ 1,000 which you are required to provide when you pick up the vehicle applies for each incident of damage. Even if you purchase an additional insurance option locally a security deposit is still required at pick-up time by the rental company.
The deposit must be provided by credit card (Mastercard, Visa, American Express) and for bookings up to 29 nights the rental company will authorise the amount by freezing the amount, thereby reducing your credit limit. However, the amount is not deducted. For reservations 30 nights and longer the amount will be charged on the credit card. The deposit will be charged back to you as long as you return the vehicle in the same state with which you received it. Pre-paid credit cards are not accepted.
During the special events of "RAM" and 'Burning Man' for all pick-ups in San Francisco, Las Vegas, Los Angeles from 22 Aug 22 to 30 Aug 22 and for all pick-ups in New York between 16 Sep 22 and 08 Oct 22 Road Bear RV charges US$ 2,000. And also during similar festivals/events Road Bear RV reserves the right to charge an additional or higher security deposit amount.
Neither the rental company nor the tour operator is liable to pay any cost differences that occur between the cost of the deducted bond and the reimbursement resulting from foreign exchange fluctuations or external fees.
Please ensure you have enough credit available on your credit card.
The deposit applies for each and any incident where the rental vehicle or the property of a third party is damaged regardless of the customer being at fault or not. In such cases an additional US$ 2,000 will be charged on the credit card and reimbursed at drop-off.
The excess of US$ 1,000 (US$ 2,000 for certain travel dates) is always banked in the first instance if an accident occurs, regardless of who is at fault and is owed to the rental company by the renter. The excess is refunded as soon as the rental company receives a payment from a third party where it is clear that this third party was at fault (this can take quite a while). The excess is deducted every time an accident occurs.
All insurance cover is null and void if the terms of the Road Bear RV rental agreement are breached. Any damage that is caused when the renter acts outside of the rental company conditions is not covered by the insurance.
Any water and/or saltwater related damage where the renter is at fault is not covered by the insurance. The insurance does not cover damage in the case of any vehicle submersion, the vehicle being stranded in a water area, driving through causeways or beach driving.
Any personal property that is damaged or stolen during an accident, vandalism or a theft is not insured. Private insurance should be purchased in your home country to cover any such issues. In order to avoid theft of personal items from the vehicle it is advised not to leave any valuable items in the vehicle.
In the cases listed below the renter is fully liable for damage to the rental vehicle and third-party property, i.e. no insurance cover whatsoever is provided:
-Damages to the interior of the vehicle
-Personal injury, personal items and property
-Carrying more passengers than having seat belts available
-Deliberate or willful damages caused by the renter or his guests
-Damages caused to the vehicle by abuse or misuse for illegal activities
-Damages where the customer is charged by the local authorities for being careless
-Damages caused by freezing, e.g. unit not winterized, or overheating of vehicle or systems
-Driving the vehicle without a rental agreement, in breach or violation of the rental agreement
-Damages and accidents caused under the influence of alcohol, drugs or any other controlled substance
-Damages and injuries caused by neglecting proper operating procedures, e.g. incorrect fuel type or quality, ignoring oil or coolant levels, air pressure, etc., by overloading the vehicle and/or exceeding the legal towing capacity (towing limit is with proper equipment 1,500 lbs. – enclosed trailers, boats or vehicles are not allowed)
-Damages where the customer is showing gross negligence or willfulness in failing to abide by the local laws and rules or disregarding common sense resulting in damage to the vehicle or third-party vehicle or property
-Operation of the vehicle by anyone not meeting the age requirements or not listed on the rental agreement or not having a valid, original driving licence
-Damages and losses due to “off-road” usage, or caused during travel in or through restricted areas, following incorrect GPS guidance, traveling into non-authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada)
- Loss of vehicle when the renter fails to remove keys or lock all doors and windows
- the renter fails to notify the rental company immediately after the loss
- the renter fails to pay charges under the Rental Agreement
The renter is liable for any fees, costs, fines or penalties that occur during his/her use of the rental vehicle unless any such costs that have arisen are the fault of the rental company.
Where speeding tickets and parking fines and/or accidents (that have not been mentioned to the rental company) come to light, the rental company reserves the right to invoice the customer for these costs in arrears as well as a processing fee of US$ 100 or charge their credit card.
The insurance options offered by the rental company do not include luggage insurance, nor do they include cover for any damage to the driver or passengers. It is therefore recommended to obtain travel insurance that covers accidents, sickness and loss of luggage prior to departure.
The valid, original driving licence (no photocopies) in English, Dutch, German, Spanish, Portuguese, French, or Italian will be accepted. If the licence does not provide all information in English, we recommend an international driving licence in addition to the national driving licence. If the driving licence is in any language other than the above an international driving licence or an official English translation must be presented at pick-up alongside the original.
The minimum age for registered drivers is 21 years.
Additional drivers can be registered at the time of vehicle collection at no extra cost. Anyone wanting to drive the motorhome must have his details entered in the rental agreement and must show his original driving licence.
At pick-up the person under which the reservation has been made must be present with the physical credit card showing his/her name and, if he/she wants to drive, also with the original driving licence. If he/she is not driving another government document to confirm the identity is required. Also required is the original driving licence for any additional driver in order for them to be insured and legally allowed to drive the motorhome. Additionally the passport as well as the Motorhome Bookers voucher have to be shown at the depot. If you forget your voucher you will not be able to collect your motorhome.

The rental company charges a one-off fee for the preparation of the vehicle.
It costs US$ 225 on Tuesday, Wednesday and Thursday and US$ 295 on Friday, Saturday and Monday per vehicle + local taxes and must be paid locally when you pick up your motorhome. With the All Inclusive Option the preparation fee is already included in the rental rates.
The fee includes: Comprehensive service and inspection of the vehicle, personal instruction on the use of the vehicle (no video), first supply of toilet chemicals and paper, fresh water hose and waste water hose, fill of fresh water, instruction manual, campground guide, map, goodie bag, KOA camp ground guide and KOA discount card, fire extinguisher, 110-volt adapter, internal and external cleaning.
This fee is optional and payable locally:
US$ 75 per person + local taxes (free for children up to 6 years of age after all adults paid for theirs). With the All Inclusive Option the convenience kits are included at no extra charge.
The vehicle kit includes: GPS, kitchen towel, cleaning towel, paper towel roll, broom, dust pan & brush, bucket, flashlight, lighter or matches, glasses, cups, plates, mixing bowl, cutlery, scissors, cookware set, can opener, cork screw, vegetable peeler, utensils, coffee maker, tea kettle, measuring cup, colander, cutting board, plastic containers and toaster, turner, whisk, roast slicer.
In addition, each passenger is provided with: comforter, cover for comforter, sheet, pillow, pillow protector, pillow case, bath towel, hand towel, washcloth.
The following optional items can be rented and paid for locally. However, we strongly recommend you reserve them during the booking process.

* Up to five devices can connect with the WiFi hotspot which offers unlimited data while traveling in the USA and Canada. With the WiFi hotspot a phone credit for national and international calls is included as well as the use of real-time navigation maps which also work offline. Has to be pre-paid during the online booking process.
** It is possible to attach a bike rack for up to 4 bikes to all vehicle models. Bike racks are not available for one-way rentals. Road Bear RV does not rent out bikes.
The company also does not rent out baby/booster seats, BBQ, etc. Customers who wish to make use of such items are required to either bring these themselves or purchase them locally.
In the United States of America, the following regulations apply:
Children under the age of 1 year or weighing less than 20 pounds (approx. 9 kg) must be seated in a rear-facing baby capsule.
In the state of California children up to the age of 2 years must be seated in a rear-facing baby capsule in the living area.
Children from the age of 1 year (or from the age of 2 years in California) up to the age of 4 years or weighing less than 40 pounds (approx. 18 kg) are required to be seated and belted in a baby seat.
Children between the age of 4 and 8 years or weighing less than 60 pounds (approx. 27 kg) or who are less than 57 inches (approx. 145 cm) in height must use a child restraint (Booster Seat), which is attached with a seatbelt.
These regulations vary from state to state in the US. For details on the requirements of the states you will be traveling in.

It is not possible to rent baby/booster seats from Road Bear RV. You are required to bring your own with you or purchase one locally.
Parents are responsible to install the baby/booster seats in the vehicle. Road Bear RV staff cannot provide installation instructions nor help with the installation. Also for transfer service you have to bring your own baby/booster seat otherwise the transfer service can be refused.
All vehicle models are equipped with one tether anchor for child seat installation. They are also equipped with cab over child safety nets on all units.
It is not permitted to drive on unsealed roads, forest roads and other private terrain.
It is also not permitted to drive to Manhatten, New York City (but it is ok to drive in New York State), Montreal, Quebec City, Mexico and Baja California. Certain highways, e.g. 'The Apache Trail' in Arizona, may also be prohibited. Underground or underwater tunnels are also forbidden.
Vehicles with propane gas tanks (for oven and fridge) are not allowed to be driven in tunnels in the USA.
It is not permitted to drive in Death Valley between 01 June and 30 September.
You are allowed to drive the motorhome to Canada, but the vehicle still needs to be dropped off at the booked depot in the USA.
Driving to Alaska and to the Northwest / Yukon Territories in Canada is permitted if requested at time of booking. Forest roads and unsealed roads are of course not permitted.
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are allowed between all international depots if booked in advance and they are payable locally (except for one-way fees included in the One-Way Specials). For the fees please refer to the section 'Additional Costs' above.

Please note that the renter is liable for any damage to the vehicle resulting from frost, exposure to the cold, freezing of the tanks, damage to the warm water tanks and connections and no insurance cover is provided in such instances.
Road Bear RV will provide your vehicle in a winterised state if you pick up in a region where the temperature is likely to go below zero degrees. Every rental vehicle has to be 'winterised' between the months of October and April (this period can vary depending on current weather conditions).
In Seattle snow chains will be provided for pick-up or drop-off in the winter months. They will be charged when used. You should not drive on snow/ice.
If it is likely that you will experience temperature levels below zero, all connections such as water and chemical tanks should be emptied. If frost temperatures are expected the rental depot the rental depot will have already winterized the vehicle by emptying the water to avoid freezing, etc prior to your departure. By winterised we mean that the water has to be emptied out of all water tanks. Following this it is not permitted to pour any more water into the fresh water tank and none of the water connections can be used any more. No water in the vehicle is available for use.
The renter is then required to purchase his/her own bottled water (e.g. drinking water) and to cover these costs him/herself.
The basins, sink, showers and toilets can no longer be used.
The renter bears all responsibility for ensuring the vehicle remains winterised and for returning the vehicle in this state if the vehicle was collected in a warmer region such that the vehicle was not winterised or if this state is altered during the rental period. If the renter does not adhere to these guidelines - regardless of what weather conditions are present at drop-off time, a fee will be charged and the bond will be withheld until the vehicle is again winterised by a specialist and returned to the rental company.
The renter will be held responsible for any costs resulting from the vehicle being damaged such as when the tanks, engine elements and pipes are damaged due to freezing, frost, etc. In such cases there is no insurance cover.
Please allow for the fact - when planning out your route, that camping grounds in certain areas may close during the winter. Some roads, especially in alpine areas may also be closed for driving or may be simply too dangerous to drive on.
Denver, Las Vegas, Los Angeles, New York, Orlando, San Francisco and Seattle.
The depots are open Monday to Friday from 0800 - 1700hrs and on Saturdays from 0800 - 1300hrs (or during High Season as required). They are closed on Sundays. Between November and February the depots in New York and Seattle are open Monday to Friday from 0900 - 1600hrs and on Saturdays by appointment only.
The Denver depot is closed between 26 Nov 22 and 26 Feb 23.
The Seattle depot is closed between 07 Nov 22 and 25 Feb 23.
All depots are closed on the following public holidays:

Pick-ups take place between 1230 - 1600hrs. On Saturdays pick-up is only possible by arrangement in advance (due to shorter opening hours, see above).
It is only possible to pick up your vehicle on the day after your arrival via an international flight.
Travel plan changes from customers, e.g. arrival times from a flight, does not give the right for a free cancellation or modification nor pick-up/drop-off service outside of the regular business hours.
Note regarding New York:
With all pick-ups in New York the compulsory New Jersey Domectic Security Fee of US$ 5/night (max. US$ 140) is payable locally.
Note regarding Denver:
With all pick-ups in Denver the compulsory Colorado Road Safety Fee of US$ 2/night (max. US$ 88) is payable locally.
Drop-off time starts at 0800hrs and must be concluded at 1030hrs.
Suggestion: if your return flight is at midday or earlier we recommend that you drop off your motorhome at the depot on the day before your flight and spend the night in a hotel.
If the vehicle is not returned by the agreed time Road Bear RV will charge an extra rental day for vehicles returned after 1100 am. For each day late an extra rental day plus US$ 300 late fee applies. Additional fees will be charged if the motorhome is not returned to the booked depot. There are no reimbursements provided if the vehicle is returned earlier than the date and time booked.
You are required to return the motorhome with a clean interior, the toilet and waste water tanks must be empty and fuel and propane gas need to be filled up to the same level which was recorded at pick-up time. Otherwise, a fee of at least US$ 50 (up to US$ 250) will be charged for each omission. If the vehicle is returned in a damaged state the appropriate fees will be charged as outlined in the rental conditions.
To ensure the pick-up time it is mandatory to fill out the pre-registration link 14 days prior to pick-up date.

Transfers that are coordinated by the rental company are provided with the following terms:
- transfers to the depot: Monday to Friday after 1230hrs only. On Saturday based on appointment.
- transfers from the depot: Monday to Saturday at 1100hrs only.
- transfers are available only to the airport and from/to certain airport hotels in which you are accomodated to the depot, but not on the day of your international flight arrival. Following drop-off, transfers are provided to international airports and airport hotels you are accomodated in.
Exceptions:
- in New York only from/to Newark airport and airport hotels, not JFK, La Guardia or Manhattan
- in Las Vegas transfers are also available from/to hotels on Las Vegas Blvd ('The Strip')
- in Los Angeles no transfer from/to Marina del Rey/Venice, Santa Monica, Anaheim/Disneyland or Burbank Airport
- in San Francisco transfers are available from the airport's "Kiss & Fly Area" which requires a train, Uber or Lyft ride from the terminals. Transfer is also availabe from the BART Station in San Leandro
- in Orlando no transfer from/to Disneyworld or Disneyworld hotels, Universal Studios, International Drive, Sanford Int'l Airport or Downtown Orlando
Please note:
Transfers will only be granted to customers that have completed the online check-in under http://www.roadbearrv.com/check-in least 14 days prior to pick-up. If the transfer is not registered in the online check-in 14 days before departure, this service will not be available. To avoid waiting times and/or to confirm shuttle service ALL international customers shall call the rental station 4 days prior pick-up day to schedule the pick-up time.
For the transfer, Road Bear RV reserves the right to limit complimentary permitted amount of luggage to 1 suitcase (max. 23 kg) and 2 pieces of hand luggage per person. Excessive luggage is the customer's responsibility.
No reimbursement will be provided if you do not stay in one of the above-mentioned hotels, if you wish to collect your vehicle later and Road Bear RV's transfer is too early for your schedule or if you can't make use of the transfers for any other reason. Early transfers and early pick-ups (or later drop-offs and therefore later transfers) are not possible.
You have to bring your own baby/booster seat for transfer service if required otherwise the transfer can be refused without reimbursement.
All Road Bear RV vehicles are of exceptionally high quality and are not older than 2 years at time of hire.
Road Bear will make every effort to ensure that the booked vehicle model is provided. However, they reserve the right, due to unforeseen circumstances, to provide either a vehicle of the same or a higher value without upgrade costs if the model booked is not available for any reason. Any additional costs f. eg. for petrol or ferry crossings etc will not be reimbursed. This does not enable the renter to cancel his booking and are no reasons for reimbursement. Should a lower-rated vehicle be substituted Road Bear RV liability is limited to the refund to the rate difference of the two vehicles.
Even though all vehicles have similar equipment and designs small differences in vehicle design may exist. All measurements and size indications are approximate values and are based on the information provided to us by the rental company. We accept no responsibility for any mistakes or human error in the provision of these details. Such information on our website can be changed at any time without prior notice.
The rental company reserves the right to charge a cleaning fee of at least US$ 50 (max. US$ 250) if the interior of any returned vehicle is not swept clean. Toilets and waste water tanks (if the vehicle is equipped with these) must be completely emptied, otherwise a further fee will be charged. Fuel or propane gas tanks must be full or a fee of up to US$ 50 will be charged. The vehicles exterior does not require cleaning by the customer (the exceptions are special events such as Burning Man, RAAM, EDC,etc).
Despite regular quality control checks problems can still arise with the vehicles from time to time.
In the event of an accident, break-down, technical difficulties (including problems with tyres) you are required to inform the rental company immediately on the toll-free service line provided. A nationwide network of contracted mechanics are available in such cases. In an accident or fire, etc the police need to be contaced and the rental company should be informed within no longer than 24 hours. Third party demands are not to be agreed to and the police report must include the name and address of the people involved as well as any witnesses along with the vehicle registration details. Even in the case of minor damage the renter is required to provide a detailed written report and sketch to Road Bear RV outlining the situation.
Note: If you do not inform Road Bear RV immediately about the need for a repair and if the company is not given the opportunity to help you find you a solution no reimbursement or compensation will be provided. If the renter informs the rental company about any vehicle problems after the vehicle has been returned, but without having informed the rental company during the rental period no insurance or reimbursements are given.
Small repairs or necessary expenses for the upkeep of the vehicle up to US$ 50 can be carried out without prior communication with the rental company and will be reimbursed to you at vehicle drop-off time. For repairs that will cost more than US$ 50 you are required to inform the rental company before repairs take place in order to obtain their approval to proceed (otherwise no repairs will be reimbursed). Any repairs can only be reimbursed upon presentation of a receipt.
If the vehicle is out of action (due to a mechanical breakdown*, not an accident) for longer than 12 working hours - and this not being the fault of the renter, Road Bear RV will - as part of the VIP insurance, reimburse US$ 25 per person per day to cover any necessary accommodation costs. US$ 50 will be paid per vehicle per day for rental car costs up to a maximum of US$ 1,500.
*Mechanical breakdown: Road Bear RV does not provide compensation for damage or problems to the following items: radio/cassette/CD/DVD player, TV, microwave, air conditioning, fridge, all appliances such as the oven, etc, water pump, shower and toilet, heater, water heater, generator, slide-out, awning, automatic steps, cruise control, GPS and WiFi.
Pets or other animals are not permitted inside the rental vehicles.
Smoking is also not allowed in the vehicles. If this does happen Road Bear RV will charge a fee at drop-off time of US$ 250 if these rules are not upheld.
All information provided has been put together by us (Motorhome Bookers GmbH & Co. OHG) in as much detail as possible and on the basis of the information made available to us. This information has been taken from the rental company's conditions which they have provided to us. Any additional conditions are included in the rental agreement which is entered into by yourself and the rental company. You will receive the complete list of rental conditions with your rental agreement, which you sign when you collect your vehicle. We accept no responsibility for any differences that come to light between our list of conditions and those of the rental company.

Post-hire Cleaning
The rental company reserves the right to charge a cleaning fee of at least US$ 50 (up to max. US$ 250) if the interior of any renturned vehicle is not swept clean. The varying standard seasonal rates are used as the basis for the rental cost calculation.
Pick-up and drop-off days are counted as one day in total, i.e. each rental night is used for the price calculation in the same way that hotels calculate their charges. The nights will be calculated according to the price applicable for each 'season' in which the nights fall.
The cancellation fees apply as stated in Motorhome Bookers' booking conditions.
If the vehicle is collected later than the pick-up day booked, or returned earlier than booked no refunds will be provided.

A compulsory vehicle preparation fee is payable locally for all rentals.
It costs US$ 229 (+ tax) per vehicle for pick-ups on Tuesday, Wednesday and Thursday.
Pick-ups on Friday, Saturday or Monday cost US$ 299 (+ tax) per vehicle.
The convenience kits are optional, include GPS, are payable locally and cost US$ 79 per person (+ tax). It is free of charge for children under 6 years of age, after all adults paid for theirs. For further details please refer to the section 'Equipment & Extras'.
If you select the All Inclusive Option during your booking the vehicle preparation fee and convenience kits for all passengers are included in the total price.
There are no mileage allowances included in the daily rental rates.
The following options are available for you to book in advance:
Option 1: You can book mileage allowances in advance in blocks of 500 miles.
Option 2: You can purchase unlimited mileage with the All Inclusive Option in advance (minimum hire of 14 nights / 15 days applies).

At the rental depots mileage is charged at US$ 0.47 per mile + taxes for all vehicles at drop-off time.
There are no refunds for any unused prepaid miles.
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are available for a fee and on request with advance bookings.

Denver: 4.75% plus Colorado Road Safety fee of US$ 2 per day (max. US$ 88) for pick-ups in Denver, Las Vegas: 8.25%, Los Angeles: 9.5%, San Francisco: 10.75%, Seattle: 10.00% (for bookings with 30 nights and more) and 17.7% (for bookings up to 29 nights), Orlando: 6.5%, New York: 6.625% plus New Jersey security fee of US$ 5 per day (max. US$ 140) for pick-ups in New York.
Motorhome Bookers can not accept responsibility if these tax levels are altered either as a result of local American tax increases or if Road Bear RV adjusts these or other locally payable fees for any reason.
Public liability insurance
The public liability insurance is included in the daily rental rate. The vehicle and the rental company are insured for damages to third parties and/or their property up to a limit of US$ 1 million (no excess).
However, the public liability insurance that covers the registered drivers is separate and only provides cover for the driver up to the statutory limit as stipulated by law of the state you are in at the time of any incident. The upper limit of this insurance cover is normally very low.
The maximum level of each public liability insurance policy covers claims made by third parties against the rental company or the renter of the motorhome (in the case of third parties or their property). Passengers in the rental vehicle are not counted as third parties and the driver is therefore not insured for claims brought by them against him/herself.
Vehicle insurance
The Premium VIP insurance with an excess of US$ 1,500 per incident is included in the rental rate for all vehicles. This insurance reduces the renter's personal level of risk/excess to US$ 1,500 (per incident) if damage occurs (any damage to the rental vehicle, regardless of how and who causes it and including if the renter is not at fault). Exceptions: damage situations that are not covered by the insurance are stated below under the heading 'Insurance Exclusions'.
The insurance covers but is not limited to:
- vehicle accident
- 'Uninsured Motorist' in case the renter is involved in an accident with a non-insured driver
- damage to the windscreen or other glass
- fire (personal property is always excluded and not insured)
- vandalism
- theft (exceptions: (a) theft of the vehicle in the cities of New York, Montreal, Quebec city, even if the vehicle is parked in an area with surveillance: the renter is required to reimburse the rental company for the full value of the vehicle; (b) personal property is always excluded and not insured.
Additional insurcane:
You have the option of purchasing an additional insurance, which is called the VIP Plus Upgrade, for US$ 17.95 per night
VIP Plus upgrade With a standard rental from the rental company, you are responsible for all loss or damage to the vehicle from any cause, regardless of the Fault, liable up to a maximum of US$1,500 per incident. T
The optional VIP Plus Upgrade is not mandatory. VIP Plus Upgrade reduces the customer's liability for damage to the rental vehicle in the event of an Accident to US$0 (unless otherwise noted in Notes 1-5 below and under Uninsured Losses). Customers can purchase VIP Plus Upgrade either in advance or at the local station. US$17.95 per night, payable locally.
VIP Plus Upgrade is not insurance and only reduces the renter's financial responsibility if the rented vehicle is damaged or stolen. The advantages of the VIP Plus upgrade are: - Elimination of the deductible in the event of damage to the rented vehicle provided the renter is not in breach of the rental agreement- You do not need to report any damage to your personal insurance.
Please note that the VIP Plus upgrade does not apply if:
1) the renter uses the vehicle contrary to the rental agreement;
2) the renter fails to remove the keys or close all doors and windows and the vehicle is stolen;
3) the renter fails to notify the rental company and the police immediately after loss; and
4) Renter fails to pay the fees specified in the Rental Agreement; or
5) permitted under applicable state or provincial law.
If damage occurs as a result of illegal or dangerous driving or if the renter drives outside of the guidelines of the rental agreement no insurance will be provided. Please see below under 'Insurance Exclusions' for further details.
The deposit of US$ 1,500 which you are required to provide when you pick up the vehicle applies for each incident of damage. Even if you purchase an additional insurance option locally a security deposit is still required at pick-up time by the rental company.
The deposit must be provided by credit card (Mastercard, Visa, American Express) and for bookings up to 29 nights the rental company will authorise the amount by freezing the amount, thereby reducing your credit limit. However, the amount is not deducted. For reservations 30 nights and longer the amount will be charged on the credit card. The deposit will be charged back to you as long as you return the vehicle in the same state with which you received it. Pre-paid credit cards are not accepted.
During the special events of "RAM" and 'Burning Man' for all pick-ups in San Francisco, Las Vegas, Los Angeles from to and for all pick-ups in New York between and Road Bear RV charges US$ 2,000. And also during similar festivals/events Road Bear RV reserves the right to charge an additional or higher security deposit amount.
Neither the rental company nor the tour operator is liable to pay any cost differences that occur between the cost of the deducted bond and the reimbursement resulting from foreign exchange fluctuations or external fees.
Please ensure you have enough credit available on your credit card.
The deposit applies for each and any incident where the rental vehicle or the property of a third party is damaged regardless of the customer being at fault or not. In such cases an additional US$ 2,000 will be charged on the credit card and reimbursed at drop-off.
The excess of US$ 1,500 (US$ 2,000 for certain travel dates) is always banked in the first instance if an accident occurs, regardless of who is at fault and is owed to the rental company by the renter. The excess is refunded as soon as the rental company receives a payment from a third party where it is clear that this third party was at fault (this can take quite a while). The excess is deducted every time an accident occurs.
All insurance cover is null and void if the terms of the Road Bear RV rental agreement are breached. Any damage that is caused when the renter acts outside of the rental company conditions is not covered by the insurance.
Any water and/or saltwater related damage where the renter is at fault is not covered by the insurance. The insurance does not cover damage in the case of any vehicle submersion, the vehicle being stranded in a water area, driving through causeways or beach driving.
Any personal property that is damaged or stolen during an accident, vandalism or a theft is not insured. Private insurance should be purchased in your home country to cover any such issues. In order to avoid theft of personal items from the vehicle it is advised not to leave any valuable items in the vehicle.
In the cases listed below the renter is fully liable for damage to the rental vehicle and third-party property, i.e. no insurance cover whatsoever is provided:
-Damages to the interior of the vehicle
-Personal injury, personal items and property
-Carrying more passengers than having seat belts available
-Deliberate or willful damages caused by the renter or his guests
-Damages caused to the vehicle by abuse or misuse for illegal activities
-Damages where the customer is charged by the local authorities for being careless
-Damages caused by freezing, e.g. unit not winterized, or overheating of vehicle or systems
-Driving the vehicle without a rental agreement, in breach or violation of the rental agreement
-Damages and accidents caused under the influence of alcohol, drugs or any other controlled substance
-Damages and injuries caused by neglecting proper operating procedures, e.g. incorrect fuel type or quality, ignoring oil or coolant levels, air pressure, etc., by overloading the vehicle and/or exceeding the legal towing capacity (towing limit is with proper equipment 1,500 lbs. – enclosed trailers, boats or vehicles are not allowed)
-Damages where the customer is showing gross negligence or willfulness in failing to abide by the local laws and rules or disregarding common sense resulting in damage to the vehicle or third-party vehicle or property
-Operation of the vehicle by anyone not meeting the age requirements or not listed on the rental agreement or not having a valid, original driving licence
-Damages and losses due to “off-road” usage, or caused during travel in or through restricted areas, following incorrect GPS guidance, traveling into non-authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada)
- Loss of vehicle when the renter fails to remove keys or lock all doors and windows
- the renter fails to notify the rental company immediately after the loss
- the renter fails to pay charges under the Rental Agreement
The renter is liable for any fees, costs, fines or penalties that occur during his/her use of the rental vehicle unless any such costs that have arisen are the fault of the rental company.
Where speeding tickets and parking fines and/or accidents (that have not been mentioned to the rental company) come to light, the rental company reserves the right to invoice the customer for these costs in arrears as well as a processing fee of US$ 100 or charge their credit card.
The insurance options offered by the rental company do not include luggage insurance, nor do they include cover for any damage to the driver or passengers. It is therefore recommended to obtain travel insurance that covers accidents, sickness and loss of luggage prior to departure.
The valid, original driving licence (no photocopies) in English, Dutch, German, Spanish, Portuguese, French, or Italian will be accepted. If the licence does not provide all information in English, we recommend an international driving licence in addition to the national driving licence. If the driving licence is in any language other than the above an international driving licence or an official English translation must be presented at pick-up alongside the original.
The minimum age for registered drivers is 21 years.
Additional drivers can be registered at the time of vehicle collection at no extra cost. Anyone wanting to drive the motorhome must have his details entered in the rental agreement and must show his original driving licence.
At pick-up the person under which the reservation has been made must be present with the physical credit card showing his/her name and, if he/she wants to drive, also with the original driving licence. If he/she is not driving another government document to confirm the identity is required. Also required is the original driving licence for any additional driver in order for them to be insured and legally allowed to drive the motorhome. Additionally the passport as well as the Motorhome Bookers voucher have to be shown at the depot. If you forget your voucher you will not be able to collect your motorhome.

The rental company charges a one-off fee for the preparation of the vehicle.
It costs US$ 229 on Tuesday, Wednesday and Thursday and US$ 299 on Friday, Saturday and Monday per vehicle + local taxes and must be paid locally when you pick up your motorhome. With the All Inclusive Option the preparation fee is already included in the rental rates.
The fee includes: Comprehensive service and inspection of the vehicle, personal instruction on the use of the vehicle (no video), first supply of toilet chemicals and paper, fresh water hose and waste water hose, fill of fresh water, instruction manual, campground guide, map, goodie bag, KOA camp ground guide and KOA discount card, fire extinguisher, 110-volt adapter, internal and external cleaning.
This fee is optional and payable locally:
US$ 79 per person + local taxes (free for children up to 6 years of age after all adults paid for theirs). With the All Inclusive Option the convenience kits are included at no extra charge.
The vehicle kit includes: GPS, kitchen towel, cleaning towel, paper towel roll, broom, dust pan & brush, bucket, flashlight, lighter or matches, glasses, cups, plates, mixing bowl, cutlery, scissors, cookware set, can opener, cork screw, vegetable peeler, utensils, coffee maker, tea kettle, measuring cup, colander, cutting board, plastic containers and toaster, turner, whisk, roast slicer.
In addition, each passenger is provided with: comforter, cover for comforter, sheet, pillow, pillow protector, pillow case, bath towel, hand towel, washcloth.
The following optional items can be rented and paid for locally. However, we strongly recommend you reserve them during the booking process.

The company also does not rent out baby/booster seats, BBQ, etc. Customers who wish to make use of such items are required to either bring these themselves or purchase them locally.
In the United States of America, the following regulations apply:
Children under the age of 1 year or weighing less than 20 pounds (approx. 9 kg) must be seated in a rear-facing baby capsule.
In the state of California children up to the age of 2 years must be seated in a rear-facing baby capsule in the living area.
Children from the age of 1 year (or from the age of 2 years in California) up to the age of 4 years or weighing less than 40 pounds (approx. 18 kg) are required to be seated and belted in a baby seat.
Children between the age of 4 and 8 years or weighing less than 60 pounds (approx. 27 kg) or who are less than 57 inches (approx. 145 cm) in height must use a child restraint (Booster Seat), which is attached with a seatbelt.
These regulations vary from state to state in the US. For details on the requirements of the states you will be traveling in.

It is not possible to rent baby/booster seats from Road Bear RV. You are required to bring your own with you or purchase one locally.
Parents are responsible to install the baby/booster seats in the vehicle. Road Bear RV staff cannot provide installation instructions nor help with the installation. Also for transfer service you have to bring your own baby/booster seat otherwise the transfer service can be refused.
All vehicle models are equipped with one tether anchor for child seat installation. They are also equipped with cab over child safety nets on all units.
It is not permitted to drive on unsealed roads, forest roads and other private terrain.
It is also not permitted to drive to Manhatten, New York City (but it is ok to drive in New York State), Montreal, Quebec City, Mexico and Baja California. Certain highways, e.g. 'The Apache Trail' in Arizona, may also be prohibited. Underground or underwater tunnels are also forbidden.
Vehicles with propane gas tanks (for oven and fridge) are not allowed to be driven in tunnels in the USA.
It is not permitted to drive in Death Valley between 01 June and 30 September.
You are allowed to drive the motorhome to Canada, but the vehicle still needs to be dropped off at the booked depot in the USA.
Driving to Alaska and to the Northwest / Yukon Territories in Canada is permitted if requested at time of booking. Forest roads and unsealed roads are of course not permitted.
One-way rentals (vehicle pick-up at location 'A' and drop-off at location 'B') are allowed between all international depots if booked in advance and they are payable locally (except for one-way fees included in the One-Way Specials). For the fees please refer to the section 'Additional Costs' above.

Please note that the renter is liable for any damage to the vehicle resulting from frost, exposure to the cold, freezing of the tanks, damage to the warm water tanks and connections and no insurance cover is provided in such instances.
Road Bear RV will provide your vehicle in a winterised state if you pick up in a region where the temperature is likely to go below zero degrees. Every rental vehicle has to be 'winterised' between the months of October and April (this period can vary depending on current weather conditions).
In Seattle snow chains will be provided for pick-up or drop-off in the winter months. They will be charged when used. You should not drive on snow/ice.
If it is likely that you will experience temperature levels below zero, all connections such as water and chemical tanks should be emptied. If frost temperatures are expected the rental depot the rental depot will have already winterized the vehicle by emptying the water to avoid freezing, etc prior to your departure. By winterised we mean that the water has to be emptied out of all water tanks. Following this it is not permitted to pour any more water into the fresh water tank and none of the water connections can be used any more. No water in the vehicle is available for use.
The renter is then required to purchase his/her own bottled water (e.g. drinking water) and to cover these costs him/herself.
The basins, sink, showers and toilets can no longer be used.
The renter bears all responsibility for ensuring the vehicle remains winterised and for returning the vehicle in this state if the vehicle was collected in a warmer region such that the vehicle was not winterised or if this state is altered during the rental period. If the renter does not adhere to these guidelines - regardless of what weather conditions are present at drop-off time, a fee will be charged and the bond will be withheld until the vehicle is again winterised by a specialist and returned to the rental company.
The renter will be held responsible for any costs resulting from the vehicle being damaged such as when the tanks, engine elements and pipes are damaged due to freezing, frost, etc. In such cases there is no insurance cover.
Please allow for the fact - when planning out your route, that camping grounds in certain areas may close during the winter. Some roads, especially in alpine areas may also be closed for driving or may be simply too dangerous to drive on.
Denver, Las Vegas, Los Angeles, New York, Orlando, San Francisco and Seattle.
The depots are open Monday to Friday from 0800 - 1700hrs and on Saturdays from 0800 - 1300hrs (or during High Season as required). They are closed on Sundays.
Between November and February the depots in New York and Seattle are open Monday to Friday from 0900 - 1600hrs and on Saturdays by appointment only.
The Denver depot is closed between 28 Nov 23 and 25 Feb 24.
The Seattle depot is closed between 05 Jan 24 and 04 Feb 24.
All depots are closed on the following public holidays:

Pick-ups take place between 1230 - 1600hrs. On Saturdays pick-up is only possible by arrangement in advance (due to shorter opening hours, see above).
It is only possible to pick up your vehicle on the day after your arrival via an international flight.
Travel plan changes from customers, e.g. arrival times from a flight, does not give the right for a free cancellation or modification nor pick-up/drop-off service outside of the regular business hours.
Note regarding New York:
With all pick-ups in New York the compulsory New Jersey Domectic Security Fee of US$ 5/night (max. US$ 140) is payable locally.
Note regarding Denver:
With all pick-ups in Denver the compulsory Colorado Road Safety Fee of US$ 2/night (max. US$ 88) is payable locally.
Drop-off time starts at 0800hrs and must be concluded at 1030hrs.
Suggestion: if your return flight is at midday or earlier we recommend that you drop off your motorhome at the depot on the day before your flight and spend the night in a hotel.
If the vehicle is not returned by the agreed time Road Bear RV will charge an extra rental day for vehicles returned after 1100 am. For each day late an extra rental day plus US$ 300 late fee applies. Additional fees will be charged if the motorhome is not returned to the booked depot. There are no reimbursements provided if the vehicle is returned earlier than the date and time booked.
You are required to return the motorhome with a clean interior, the toilet and waste water tanks must be empty and fuel and propane gas need to be filled up to the same level which was recorded at pick-up time. Otherwise, a fee of at least US$ 50 (up to US$ 250) will be charged for each omission. If the vehicle is returned in a damaged state the appropriate fees will be charged as outlined in the rental conditions.

All Road Bear RV vehicles are of exceptionally high quality and are not older than 2 years at time of hire.
Road Bear will make every effort to ensure that the booked vehicle model is provided. However, they reserve the right, due to unforeseen circumstances, to provide either a vehicle of the same or a higher value without upgrade costs if the model booked is not available for any reason. Any additional costs f. eg. for petrol or ferry crossings etc will not be reimbursed. This does not enable the renter to cancel his booking and are no reasons for reimbursement. Should a lower-rated vehicle be substituted Road Bear RV liability is limited to the refund to the rate difference of the two vehicles.
Even though all vehicles have similar equipment and designs small differences in vehicle design may exist. All measurements and size indications are approximate values and are based on the information provided to us by the rental company. We accept no responsibility for any mistakes or human error in the provision of these details. Such information on our website can be changed at any time without prior notice.
The rental company reserves the right to charge a cleaning fee of at least US$ 50 (max. US$ 250) if the interior of any returned vehicle is not swept clean. Toilets and waste water tanks (if the vehicle is equipped with these) must be completely emptied, otherwise a further fee will be charged. Fuel or propane gas tanks must be full or a fee of up to US$ 50 will be charged. The vehicles exterior does not require cleaning by the customer (the exceptions are special events such as Burning Man, RAAM, EDC,etc).
Despite regular quality control checks problems can still arise with the vehicles from time to time.
In the event of an accident, break-down, technical difficulties (including problems with tyres) you are required to inform the rental company immediately on the toll-free service line provided. A nationwide network of contracted mechanics are available in such cases. In an accident or fire, etc the police need to be contaced and the rental company should be informed within no longer than 24 hours. Third party demands are not to be agreed to and the police report must include the name and address of the people involved as well as any witnesses along with the vehicle registration details. Even in the case of minor damage the renter is required to provide a detailed written report and sketch to Road Bear RV outlining the situation.
Note: If you do not inform Road Bear RV immediately about the need for a repair and if the company is not given the opportunity to help you find you a solution no reimbursement or compensation will be provided. If the renter informs the rental company about any vehicle problems after the vehicle has been returned, but without having informed the rental company during the rental period no insurance or reimbursements are given.
Small repairs or necessary expenses for the upkeep of the vehicle up to US$ 50 can be carried out without prior communication with the rental company and will be reimbursed to you at vehicle drop-off time. For repairs that will cost more than US$ 50 you are required to inform the rental company before repairs take place in order to obtain their approval to proceed (otherwise no repairs will be reimbursed). Any repairs can only be reimbursed upon presentation of a receipt.
If the vehicle is out of action (due to a mechanical breakdown*, not an accident) for longer than 12 working hours - and this not being the fault of the renter, Road Bear RV will - as part of the VIP insurance, reimburse US$ 25 per person per day to cover any necessary accommodation costs. US$ 50 will be paid per vehicle per day for rental car costs up to a maximum of US$ 1,500.
*Mechanical breakdown: Road Bear RV does not provide compensation for damage or problems to the following items: radio/cassette/CD/DVD player, TV, microwave, air conditioning, fridge, all appliances such as the oven, etc, water pump, shower and toilet, heater, water heater, generator, slide-out, awning, automatic steps, cruise control, GPS and WiFi.
Pets or other animals are not permitted inside the rental vehicles.
Smoking is also not allowed in the vehicles. If this does happen Road Bear RV will charge a fee at drop-off time of US$ 250 if these rules are not upheld.
